Contract Period: June to November 2025 (6 months) with the first and last month being part time (80%)
Reports to: Fundraising Team/Manager, Development & Partnerships
Location: Singapore
Fee: $5,000/month at full-time rate

AWARE’s Fundraising team is seeking an experienced Ball Project Manager to support the planning and execution of its annual fundraising gala, the AWARE Ball, scheduled for November 2025.

This year’s Ball is especially significant as it marks AWARE’s 40th anniversary—an important milestone to celebrate the organisation’s history, achievements, and impact. The event will honour the people who have been pivotal to AWARE’s success while also building community and inspiring new supporters to join the cause of promoting women’s rights and gender equality.

The Ball Project Manager will join an experienced and dynamic fundraising team, working closely to ensure the event’s success and reach our fundraising targets. We are looking for someone who can take ownership of key aspects of the project, and work independently to manage complex logistics and relationships. The ideal candidate will bring substantial event management experience, a strong network of contacts for in-kind sponsorships and partnerships and the ability to balance creative and practical concerns to deliver an exceptional event that meets its fundraising goals.

We are looking for someone with exceptional event planning and project management expertise who is comfortable with both the creative and logistical aspects of events. You should be proactive, detail-orientated, and able to build strong relationships with sponsors and partners. You’ll play a pivotal role in raising funds that sustain AWARE’s vital services and advocacy while celebrating its legacy and forging connections for the future.

Key Responsibilities:

Project Management

  • Manage project timelines and budgets to deliver key elements of the Ball efficiently and effectively.
  • Contribute to the development of the event’s theme and programming to celebrate AWARE’s 40-year history, honour key supporters, and engage new audiences.
  • Manage event logistics, including transportation, venue setup, décor, gifts, entertainment, and contingency planning.
  • Contribute to detailed post-event reports with insights for future improvements.
  • Provide operational and administrative tasks to ensure a successful event.

Sponsorship and Stakeholder Engagement

  • Secure and manage corporate and in-kind sponsorships and partnerships.
  • Build and strengthen relationships with sponsors, donors, vendors, and performers.
  • Recruit, train, and manage event and ball committee volunteers.

Requirements:

  • Proven expertise in project management and event planning, with significant experience managing large-scale events.
  • Strong ability to independently handle logistics, budgets, and stakeholder coordination.
  • Exceptional written and verbal communication skills and an ability to engage sponsors and partners effectively.
  • Proficient in Google Apps, especially Google Docs, Sheets and Slides.
  • Highly organised, detail-orientated, and adept at time management.
  • Creative, adaptable, proactive, and able to take initiative while working with a team.
  • Strong commitment to gender equality and alignment with AWARE’s values and mission.

Bonus (Preferred but Not Required):

  • An established network of contacts for securing in-kind sponsorships and partnerships.
  • Ability to produce video content, social media posts, and storytelling materials to shape and enhance the Ball’s overall narrative.
